Features of MDM
Mobile Device Management (MDM) is a security and management solution that allows organizations to enforce policies, streamline access, and provide secure functionality across devices. With Intune MDM, Michener users can now log in to their computers with their Michener credentials, gaining access to enhanced features like streamlined printing, automatic app updates through Company Portal, and local OneDrive access. This ensures a seamless and more secure user experience, enabling efficient collaboration while maintaining compliance with organizational security standards.
Log in with Michener Credentials
With the Intune MDM, you can log in to your laptop using your Michener credentials, similar to how you login to onsite computers, your Michener email or any other Michener services.
While logging in to your laptop while connected to the internet is recommended to ensure that your files synchronize and you receive the latest updates and changes, your laptop will allow you to login offline for 7 days after your last online login. After that point, you will need to reconnect to the internet and log in again.
P: Drive - Migration to OneDrive
Currently, when you log into a Michener onsite PC, the data you create or save onto the computer is stored in your personal file share, known as a "P: Drive". As part of this migration process, the P: Drive system will be discontinued. All the data that is currently stored in P: Drive will be automatically migrated into the cloud storage solution, OneDrive.
After the transition period, you will save and access their files from OneDrive, which will happen automatically for select folders. Please refrain from saving any further information onto your P: Drive as we will not be moving data from P: Drive to OneDrive after this initial migration. If new data is created on your P: Drive on a shared PC or Remote Desktop server, you will need to manually copy it to OneDrive.
Benefits of OneDrive
- More storage: OneDrive offers much more storage compared to P: Drive. For instance, while P: Drive only offers 4GB to staff & faculty, OneDrive offers up to 1TB, which allows you to store more work without worrying about running out of space.
- Access anywhere: You can access their files anywhere or on any device, whether you work remotely or onsite.
- On-Demand Files: Unlike the P: Drive, which downloads all the contents of your P: Drive on login which can cause slow login and other issues, by default OneDrive only downloads a file when you access it which can save storage and allow for quick login.
- Versioning: Like SharePoint, OneDrive will automatically retain the last 511 versions of a file, allowing easy reversion of changes.
Changes from the P: Drive system
- Selective Sync: Only files in your Desktop, Documents & Pictures folders are automatically backed up and synchronized, as well as those stored directly in the OneDrive folder on your computer. Please ensure you are saving files to these locations. Any files not stored in these locations will not be automatically backed up or synchronized and cannot be recovered by IM in the event of data loss.
- Application Data: Some applications synchronize data in your P: Drive, such as Firefox. These applications will no longer synchronize between computers and will need to be set up on each device if you utilize multiple devices.
- File Recovery: IM will no longer be able to recover data from your OneDrive in the same way that is currently possible with the P: Drive system. OneDrive retains the last 511 versions of a file and retains the contents of your Recycle Bin for 93 days unless manually emptied so accidental data loss is difficult, but we will not be able to revert or recover intentional deletions.
How to access OneDrive and add files
To access the OneDrive you can use the client pre-installed on your computer, or the version available in browser from Michener Office 365. For more instructions on how to access OneDrive and add files, just follow the step-by-step instructions as follows: OneDrive Access & Adding files.
SharePoint
As the Y: Drive has been migrated to SharePoint, you can now sync SharePoint sites directly to your OneDrive, or create links to SharePoint locations in your OneDrive. This will allow you to browse entire commonly accessed sites or specific locations like folders on your desktop.
SharePoint Sync
SharePoint Sync is best used when you need to access an entire SharePoint site frequently and browse, edit or update its contents. For more details on how to use SharePoint Sync, please reference this guide: Sync SharePoint to OneDrive in File Explorer.
SharePoint Links
SharePoint Links are best used when you need to browse, edit or update a specific folder or location. For more details on how to use SharePoint Links, please reference this guide: Adding links to OneDrive From SharePoint
Benefits of SharePoint
- Real-Time Collaboration: By using SharePoint, multiple users can work on projects together, which makes teamwork easier and more efficient.
- Ample Storage Space: SharePoint provides unlimited storage space, allowing users to collaborate better without worrying about running out of space.
- Anywhere Access: Users can access files anywhere with an internet connection with the latest version.
- Easy Sync with File Explorer: With OneDrive enabled in Desktop and Laptop, Syncing SharePoint to File Explorer will ease editing and uploading Files to their SharePoint site.
- Instant File Syncing: Any changes in the SharePoint will sync right away to their device.
Application Management
The MDM will improve all aspects of application management, including the ability to automatically push application updates to your device, and for you to install your own approved applications.
Automatic Updates
Whenever a new version of the application becomes available, it will be sent to your device. You will receive a pop-up notification indicating that an update is available. You can choose to update immediately or postpone it. If you opt to update right away, please ensure that you save all your work and close the application to proceed with the update. You can postpone the update up to three times and return to update it later at your convenience.
There is no longer a need to schedule a visit for service desk assistance or submit a ticket to update your applications. The update will run in the background, allowing you to continue with other tasks. This feature can minimize downtime, reduce interruptions, and save you time, enabling you to focus more on your work.
Company Portal
The Company Portal is an app provided by Microsoft Intune that gives you secure access to approved corporate applications. It is your one-stop shop to download and install approved applications on-demand. It also features Single Sign-On (SSO), which reduces the number of times you need to log in to access corporate resources. This allows you to install approved applications you need without requiring the assistance of the Service Desk.
Accessing to Company Portal App
To open the Company Portal from your device:
- In the search bar at the bottom-left corner of your screen, type Company Portal.
- Once you see the Company Portal app icon, click to open it.

Printing Onsite
Leveraging our existing print management software PaperCut, the printing experience will be much simpler when you are on a laptop. You can now directly print from your laptops instead of having to use an onsite desktop or connecting to Michener Remote Desktop, saving you time and simplifying printing.
How to Use
The Print Deploy client is a software component installed on users' computers that facilitates the automatic deployment of printers and their associated drivers. It will appear in your system tray with a green plus sign. By clicking on the icon, you can view all the printers to which you have access.
- You can only print to printers for which you have been authorized. The list of accessible printers will be available under the "My Printers" tab.
- If a printer is not listed that you already have access, you can search for it and add it manually.
- Printing can be done either via a wired connection or through a VPN.
VPN
The new MDM will make more significant use of the VPN, it may be required for accessing certain applications or utilizing certain features depending on your physical location. The VPN client is automatically preinstalled on your Michener Laptop when it is enrolled in MDM. For instructions on how to use the VPN, click here.
Remote Desktop
All of your tasks that you may currently do via Michener Remote Desktop should now be possible locally on the computer itself. Remote Desktop is still accessible if needed, but we encourage you to try and do as much as possible on the local computer itself. If functionality is not available or only works on Remote Desktop and IM has not already been made aware of this, please don't hesitate to reach out by using the information in the "Feedback" section below.
Feedback
Your feedback is important. Please share your experience with the new MDM enrollment with us. If there is room for improvement or if you have any questions or concerns, we strongly encourage you to to let us know by emailing helpdesk@michener.ca.
