Background
For several years, Michener has used Microsoft Stream to store and share most of its video content.
However, in 2021 Microsoft announced it was replacing MS Stream with Stream on SharePoint, which would be fully integrated with Microsoft 365 (formerly Office 365). Customers who want to keep their video content must migrate to the new platform.
MS Stream will fully retire by the end of April 2024, while any video hyperlinks will remain active until February 15th, 2025.
Actions
AV Services & CLIS (Centre for Learning Innovation and Simulation) have been planning for the migration since February 2023.
Since May 2023, videos have been uploaded to Stream on SharePoint into the newly created Michener Video Repository (MVR).
In December 2023, we started performing test migrations. These were deemed successful as there were no reports of broken links or other issues regarding video access.
In late March and the first week of April of this year, the bulk of MS Stream video content was migrated to Stream on SharePoint. This resulted in 82%, or 450 GB of the existing content being migrated. All groups and company-wide channels were migrated. Also, 60% of user content – videos not shared in a group or a channel – was migrated.
All remaining content was migrated on April 11th, 2024.
Migration Process
The bulk of the videos – lectures and other course content – were migrated to the Michener Video Repository.
The remainder – videos classed as user content – were migrated to the video owners’ OneDrive.
Note: User's OneDrive should only contain personal videos. Any course content should be moved to the Michener Video Repository.
The Michener Video Repository is the SharePoint site that has effectively replaced Stream. It is managed by AV Services and is meant to be used for faculty to store, organize, and share their videos. All student-facing content should be stored there.
The Michener Video Repository is organized by program, with each program assigned a folder. There are also folders for Administration and the CLIS. Within each program folder, there are course folders which can be further organized into subfolders.
Gaining Access to the Michener Video Repository
If you have a video that you want uploaded, send your request along with a link to the video to AV Services and we will upload it to your program folder. We will provide you with a link to the video and access to your program folder so that you can share, upload, and organize videos on your own.
If you do not already have access to your program folder on the MVR, please send a request to AV Services (avservices@michener.ca).
Video Links
Hyperlinks in Stream on SharePoint will work identically as those on Stream. And old Stream links will continue to work for migrated videos.
However, the old Stream links will expire February 15th, 2025, and owners will need to update them before then.
A good idea is to update links once Michener has switched from Blackboard to Brightspace and the migrated courses need to be checked for errors.
Updating a link:
Step 1 - Click on an existing old Stream link.
Step 2 - Once the video opens in the new Stream, Locate the “Share” option in the upper right corner of the window.
Step 3 - Click on “Share”
Step 4 - Copy the link and use that to replace the old link.
The transition to Stream on SharePoint should be seamless. Videos can be shared the same way as they were on Old Stream. Old Stream video links will continue to work until February 15th, 2025, by which time they must be updated.
